Zoom Integration Guide

Psynamica is a CRM platform for psychologists. The Zoom integration automatically creates Zoom meetings for therapy sessions.

Adding the Zoom Integration

Prerequisites:

  • An active Psynamica account (sign up at app.psynamica.ru)
  • A Zoom account (free or paid)

Step-by-step instructions:

  1. Sign in to your Psynamica account at app.psynamica.ru/login.
  2. In the left sidebar, click Integrations (Интеграции).
  3. Find the Video calls (Видеозвонки) section.
  4. On the Zoom card, click the Connect (Подключить) button.
  5. You will be redirected to Zoom's authorization page.
  6. Sign in to your Zoom account if you are not already signed in.
  7. Review the requested permissions (create, update, and delete meetings) and click Allow.
  8. You will be redirected back to Psynamica. The Zoom card will now show a Connected (Подключён) badge.

Troubleshooting:

  • If you see an error after authorization, ensure your Zoom account has permission to create meetings.
  • If the redirect fails, try again in an incognito browser window.
  • For further help, email support@psynamica.ru.

Using the Zoom Integration

Once connected, Zoom becomes your default video provider for therapy sessions. Each new booking automatically generates a unique Zoom meeting.

Creating a session with a Zoom meeting:

  1. In the left sidebar, click Bookings (Записи).
  2. Click the + New booking (+ Новая запись) button.
  3. Select a client, service, date, and time slot.
  4. Click Create (Создать).
  5. The session page will display the Zoom meeting link automatically.
  6. The same link is sent to the client via email and shown in the client's booking confirmation.

Joining a session:

  • Open the session page in Psynamica.
  • Click the Join (Присоединиться) button next to the Zoom link.
  • The Zoom meeting will open in a new tab or in the Zoom desktop app.

Rescheduling and cancellation:

  • When you reschedule a booking, the Zoom meeting time is updated automatically.
  • When you cancel a booking, the corresponding Zoom meeting is deleted.

Removing the Zoom Integration

You can disconnect Zoom at any time from your Psynamica account.

Step-by-step instructions:

  1. Sign in to your Psynamica account.
  2. Go to Integrations (Интеграции) in the left sidebar.
  3. Find the Zoom card in the Video calls section.
  4. Click the Disconnect (Отключить) button.
  5. Confirm the action.

What happens after disconnecting:

  • Your OAuth tokens are immediately deleted from our database.
  • No further API calls to Zoom will be made on your behalf.
  • Existing Zoom meeting links for past sessions will continue to work in Zoom (they are managed by Zoom, not Psynamica).
  • Future sessions will use Psynamica's built-in video room instead of Zoom (unless you connect another video provider).

Removing the app from your Zoom account:

You can also remove Psynamica from your Zoom account directly:

  1. Sign in to your Zoom Marketplace account at marketplace.zoom.us.
  2. Go to Manage > Added Apps.
  3. Find Psynamica in the list and click Remove.

When you remove the app from Zoom, Zoom sends a deauthorization notification to Psynamica, and we delete your stored credentials within 24 hours.

Data and Security

  • OAuth scope used: meeting:write:meeting (create, update, delete meetings).
  • Token storage: OAuth access and refresh tokens are encrypted at rest with AES-256-CBC in our PostgreSQL database.
  • Transport security: All API calls use HTTPS / TLS 1.3.
  • Data accessed: only meeting metadata (title, time, duration, join URL). We do not access recordings, chat history, or participant lists.
  • Data retention: tokens are kept while the integration is active and deleted within 24 hours of disconnection.
